Ray The Plumber respects your privacy. This policy explains what information we collect through our website at https://raytheplumber.com and in the course of providing plumbing services, how we use it, and what choices you have.

Who we are

Ray The Plumber is a trade name of RTP Home Services LLC. In this policy, “Ray The Plumber,” “we,” and “us” mean RTP Home Services LLC, which is responsible for the information described here.

What we collect

Information you give us. Your name, address, phone number, email address, and details about the service you need, whether you call us, book online, request a callback, or visit our office.

Payment information. Payments are processed through our field service management platform and its payment processor. Card numbers are entered into that system, not into our website, and we do not receive or store full card numbers. We retain a record of the transaction, which may include the last four digits of the card and the amount paid.

Service records. Records of work performed at your property, including job notes, photographs of the work area where relevant, invoices, and warranty information.

Information collected automatically. IP address, domain name, browser type, operating system, the pages you view on our site, and the site or search that referred you.

Communications. Any information you provide when you contact us by phone, email, text, or through a form on our site.

How we use it

• To dispatch technicians and keep you informed about arrival times
• To bill you and process payment
• To maintain warranty and service history for your property
• To answer questions and provide customer support

Cookies and tracking

We use cookies and similar technologies on our website. Some are necessary for the site to function. Others help us understand how visitors use the site, which pages are most useful, and where our traffic comes from.

We also use third-party analytics and advertising services, including advertising pixels placed on our site by those companies. These services set their own cookies and receive information about your visit, including your device identifier, your IP address, and the pages you viewed. They may combine that information with data they hold about you from other sources, and they use it to show you our ads on other websites and to measure how those ads perform. We do not control what these companies do with the information once they receive it. Their own privacy policies govern that use.

You can set your browser to refuse cookies or alert you when cookies are being sent. Some parts of our site may not work properly if you do. Most major advertising platforms also offer their own ad personalization settings.

Text messages

We send two kinds of text messages, and they work differently.

Messages about your service. When you book service, you give us your mobile number so we can reach you about your job. We use it to send appointment confirmations, dispatch and arrival notifications, billing notices, and job completion surveys. This applies whether you book by phone, in person, or through the booking form on our website. Asking us to call you back is not the same as booking, and submitting a callback request alone does not enroll you in text messages.

Marketing messages. We send promotional texts only to customers who have separately asked for them by checking the box on our booking form. That box is unchecked by default, and checking it is never a condition of booking or of receiving service. If you have not checked it, we will not send you marketing texts.

Both kinds. Message and data rates may apply. Message frequency varies. Reply HELP for help or STOP to unsubscribe. You may also opt out by calling 631-581-2500 or telling any of our staff. We honor opt-out requests within 10 business days. Replying STOP to a marketing message stops marketing messages, and you can tell us if you would also like messages about your job to stop. Message delivery depends on your mobile carrier and is not guaranteed, and carriers are not liable for delayed or undelivered messages.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

How we share information

We do not sell your personal information for money, and we do not give it to third parties to market their own products to you.

We do use advertising and analytics services on our website, and as described in the Cookies section above, those services receive information about your visit and use it to show you our ads elsewhere on the internet. Some state privacy laws define that kind of arrangement as a “sale” or a “share” of personal information even though no money changes hands. We would rather give you the accurate picture than a label, so the Cookies section describes exactly what happens.

We share information with service providers who perform functions on our behalf, including website hosting, payment processing, field service management and dispatch, text message delivery, email delivery and marketing, and accounting. These providers may use your information only to perform those services for us and are required to protect it.

We may disclose personal information, including IP addresses, when required by law or when we believe in good faith that disclosure is necessary to:

• Comply with a subpoena, court order, or other legal process
• Cooperate with an investigation of suspected unlawful activity
• Protect or defend our rights or property
• Identify a person who may be violating the law, infringing the rights of others, or misusing our website
• Protect the safety of any person

How long we keep it

Different records are kept for different periods.

Job and customer records in our field service system. We keep these indefinitely. Your service history, job notes, photographs, invoices, and warranty information stay in our system for as long as we operate, and they are not deleted on a schedule. We do this because plumbing work is long-lived: a repair we made twelve years ago is often the first thing a technician needs to see when something goes wrong today, and warranty and liability claims can arise many years after the work.

Tax and accounting records. At least seven years, as required for tax purposes and by our obligations as a licensed contractor.

Text message consent and opt-out records. At least four years.

Email unsubscribe records. Indefinitely, so that we do not contact you again after you opt out.

Website analytics data. Up to 26 months.

We may keep any information longer where the law requires it or where a claim is pending.

Security

We maintain a data security program with administrative, technical, and physical safeguards appropriate to the size of our business and the sensitivity of the information we hold, as required by New York’s SHIELD Act (General Business Law § 899-bb). This includes designating an employee responsible for the program, training staff on secure handling of customer information, restricting access to those who need it for their job, requiring multi-factor authentication on the systems that hold customer records, encrypting sensitive information in transit, working with service providers who maintain their own safeguards, and destroying records securely when they are no longer needed.

No method of transmission or storage is completely secure. We cannot guarantee absolute security.

If there is a breach

If your private information is acquired by an unauthorized person, we will notify you as required by New York General Business Law § 899-aa. Notice will be given in the most expedient time possible and without unreasonable delay, consistent with the needs of law enforcement and any measures necessary to determine the scope of the breach and restore the integrity of our systems. Where required, we will also notify the New York Attorney General, the Department of State, and the Division of State Police.

Notice will include, to the extent known, a description of the categories of information believed to have been acquired, contact information for RTP Home Services LLC, and telephone numbers and websites for the state and federal agencies that provide information about security breach response and identity theft prevention.

Your choices

You may ask us to provide a copy of the personal information we hold about you, or to correct information that is inaccurate. Contact us at 631-581-2500 or [email protected]. We may ask you for information to confirm your identity before we act on the request, so that we do not disclose your records to someone else. We aim to respond within 30 days.

We generally cannot delete your service history. As described above, we keep job and customer records indefinitely to support warranty claims, future service, and our obligations as a licensed contractor. If you ask us to delete information, we will tell you what we are able to remove, what we must keep, and why.

To stop marketing emails, use the unsubscribe link in any message or contact us directly. To stop text messages, see the Text messages section above.

Children

Our website is not directed to children under 13, and we do not knowingly collect personal information from anyone under 13. If you believe a child has provided us with personal information, contact us and we will delete it.

Links to other sites

Our website may link to sites we do not operate. We are not responsible for the content or privacy practices of those sites. Read the privacy policy of any site that collects your information.

Surveys

After we complete a job, we may ask you to rate the service. Participation is voluntary. We use your responses to evaluate and improve our work.

If our business changes hands

If RTP Home Services LLC is sold, merged, or transfers part of its business, customer information may be transferred as part of that transaction. The recipient will be bound by this policy for information collected before the transfer, or we will notify you and give you a choice before any materially different practices apply.

Changes to this policy

We may update this policy. Changes take effect when posted here, and the date at the top will reflect the most recent version. Material changes will be announced on our website.
